Detailed Features

Activity List

  • See today's deliveries and pickups
  • Jump to any date's activities
  • Get a list of outstanding activities that haven't been completed yet
  • Get a list of outstanding requests that haven't been handled yet
  • Delete and edit reservations
  • Mark activities complete as you complete them
  • Show all the matching activities of a repeating reservation
  • Hide completed activities to concentrate on pending ones
  • Assign AV Codes as equipment is delivered
  • Print a hardcopy of a reservation for record keeping

Creating Reservations

  • Set the patron, type of equipment, and delivery and return details
  • Check on the availability of equipment right from the reservation screen
  • Reservations can repeat every day, every week, or on a set of nonconsecutive dates
  • You can assign the actual piece of equipment right away, or at a later date, or have AVScheduler pick an available piece of equipment
  • Schedule activities by the school period, before or after school, or at an exact time
  • Send an email confirmation of the reservation to the person who requested it

Making Requests

  • Any staff member can make a request
  • Requests are sent to the Reservation Manager (AV Director, etc.) and are also kept in a Pending Requests list
  • Staff can check on the availability of equipment before making the request
  • Staff can check the Activity List to confirm that their request has been handled
  • Staff members can get an email copy of their request for their records

Checking Requests

  • Every page has a tally of incomplete requests as a reminder of work to be done
  • After you complete a request, you can mark it as complete so you can refer to it later if needed
  • You can also delete a request if you no longer need the information or if the request is bogus

Search Capabilities

  • Enter a search term and AVScheduler will check the Equipment database, the Patron database, the Location database, and the Activity List for that term
  • If you click on a specific piece of equipment, patron, or location, and you are logged in, you will be able to edit that item, and see where that item appears on the Activity List.

Getting Started - what's needed

  • Decide who is allowed to make reservations (AV Director, etc.)
  • List of all your Equipment
  • List of all your school's rooms or delivery locations
  • List of all your school's Staff
  • Group your Equipment into Equipment Types (the "Overhead Projector" type, the "Boombox" type, etc.)
  • List of all the Equipment Types that you wish to reserve
  • List of all the Equipment Types that you want Staff to be able to request
